How the Invoice Generator works
This free invoice generator builds a printable invoice in your browser. Fill in your details, the client's details and one line per item, and a finished single-page PDF invoice is built as you type. There is no account and no upload, and the only branding is one small credit line — the file is assembled by JavaScript in this tab and saved straight to your downloads folder.
Free invoice generator: what an invoice must show
Most free invoice generators are lead-capture forms. You type your client's name and address, your own bank details and the amount you are owed, and all of it is posted to a server you know nothing about in exchange for a PDF that often carries somebody else's logo across the page. That is a poor trade for a document that takes ninety seconds to produce, so this one never sends anything anywhere.
How the line items are written. Put one item on each line, using a vertical bar to separate the
parts: Brand identity design | 1 | 2400 means one unit at 2,400. If a line has only two parts —
Strategy workshop | 900 — the quantity is taken as one, which is the common case for fixed-fee
work. Quantities can be fractional, so Consulting | 7.5 | 120 bills seven and a half hours. The
running total, the tax line and the amount due all update on every keystroke, so a typo in a price
is obvious before you download anything.
What makes an invoice actually payable. An invoice is a request for payment, and most late payments are caused by the document rather than the payer. Accounts departments need four things to process one without emailing you back: a unique invoice number they can reference, a clear due date rather than a term the reader has to compute, the exact legal name of the entity being billed, and payment details that match the bank account you actually use. This generator prints an explicit due date derived from your chosen terms for that reason — "30 days" on its own invites a dispute about when the clock started, whereas a printed date does not.
Tax is your responsibility, not the tool's. The tax field applies one flat percentage to the subtotal, which covers standard-rate VAT, a single state sales-tax rate, or GST. It does not handle mixed rates across line items, reverse-charge wording for cross-border B2B supplies, or the registration number that most jurisdictions require on a tax invoice. If you are VAT registered, put your number in the footer notes field — it will be drawn at the bottom of the page. If your supply is reverse charged, the required statement goes in the same place. Set the rate to zero if you are not registered at all.
Where the numbering should come from. Invoice numbers need to be unique and, in most tax regimes, sequential with no gaps, because a gap looks like a deleted invoice to an auditor. Keep the sequence in whatever you already use as a record — a spreadsheet is fine — and type the next number here. This tool has no memory between visits by design: nothing about your invoices is stored in this browser or on the server, so it cannot increment a counter for you.
Practical limits. The output is deliberately one A4 page, which holds up to twenty-four line items. The built-in PDF fonts cover Latin characters, so Greek, Cyrillic, Arabic and CJK text cannot be drawn and the tool will tell you rather than silently dropping characters. If you need multi-page invoices, per-item tax rates or stored client records, you have outgrown a single-purpose tool and want proper accounting software.
FAQ
How do I write a line item with a quantity?
Separate the parts with a vertical bar, as in Web page templates | 6 | 320 for six units at 320
each. With only two parts, such as Logo design | 900, the quantity is assumed to be one.
Quantities may be decimal, so Consulting | 7.5 | 120 correctly bills seven and a half hours at
your hourly rate.
Does it handle VAT or sales tax properly?
It applies one flat rate to the subtotal and prints the resulting tax line, which is right for a single standard rate. It cannot do mixed rates per item or reverse-charge supplies, and it does not print a tax registration number unless you add yours to the footer notes field, which most jurisdictions require on a valid tax invoice.
Can I add my logo to the invoice?
Not in this version. The layout uses the standard PDF fonts and no images, which is what keeps the file small and the whole process offline. Your business name is set in bold at the top right, and the footer notes field takes as many lines as you need for payment and registration details.
Why is there a limit of twenty-four line items?
The output is a single A4 page, and twenty-four rows is what fits legibly above the totals block. If you have more items than that, the tool says so rather than overflowing off the page — group related work into fewer summarised lines, or issue more than one invoice for the separate pieces of work.
