How the Meeting Agenda Generator works
This meeting agenda generator turns a list of items with minutes and a lead into a clean single-page PDF agenda. It works out each item's start time and the finish time from your start time, and adds an actions table if you list any. Nothing is uploaded.
How the meeting agenda generator times your meeting
Write each item as item | minutes | lead, such as Q3 budget review | 20 | Priya. The lead is
optional. Starting from your start time, each item begins when the one before it ends, so the agenda
prints a start time beside every item and a finish time at the foot.
A worked example. With the default items and a 09:30 start, Welcome runs 09:30 to 09:35, Actions from last meeting 09:35 to 09:45, the budget review 09:45 to 10:05, the hiring plan 10:05 to 10:20 and any other business 10:20 to 10:30. The meeting lasts one hour and finishes at 10:30.
Why timed agendas work. Giving each item a time box tells people how much discussion it deserves and makes overruns visible as they happen. Put decisions that need everyone near the start, and keep information-only updates short or send them as reading beforehand.
Recording actions. After the meeting, list each action as action | owner | due, such as
Send revised budget | Priya | 10 Oct, and download again. The same page then serves as the agenda
and a short record of who is doing what.
The page holds up to twenty-four agenda items and actions between them. Nothing you type is stored in this browser or sent to a server.
FAQ
What should a meeting agenda include?
The meeting title, date, start time and location, who is attending, and the items in order with a time and a lead for each. A finish time, papers to read beforehand and a list of actions from the last meeting make the agenda much more useful.
How long should each agenda item be?
Allow five minutes for welcome and apologies, ten to twenty minutes for each item that needs a discussion or decision, and ten minutes at the end for any other business. If an item needs more than thirty minutes, it may deserve a separate meeting.
Can I use this for meeting minutes?
It covers the actions part of minutes. Add the actions with owners and due dates after the meeting and share the new PDF. For formal minutes that record discussion and votes, write those in a document and attach this agenda to the front.
Why does the start time need to be in HH:MM format?
The generator adds each item's minutes to the start time to print the running times, so it needs an exact clock time such as 09:30 or 14:00. Use the 24-hour clock for afternoon meetings, so two in the afternoon is written 14:00.
