How the Timesheet Calculator works
This timesheet calculator adds up a week of shifts from one line per day. Type the day, start and end times and any unpaid break in minutes, and it totals your hours, separates regular time from overtime above your threshold and works out gross pay at your rate.
A paper time card or a notes app full of start and finish times is easy to keep and tedious to add up. Times do not add like ordinary numbers, breaks need taking off, a late shift may run past midnight, and overtime only starts once the week passes a threshold. Doing all of that by hand is where most payroll errors and pay disputes begin.
How to fill in the timesheet calculator
Write one shift per line in this order: a label, the start time, the end time and the unpaid break in minutes.
- The label is anything you like, such as Mon, 12 Oct or Site B. Leave it out and the line number is used.
- Times can be 24-hour, such as 17:30, or 12-hour with am or pm, such as 5:30pm.
- Start and end can be separated by a space, a hyphen, an en dash or the word to, so 9:00-17:30 and 9am to 5:30pm both work.
- The break is optional and defaults to zero.
- An end time at or before the start is treated as the next day, so 22:00 06:00 is an eight-hour night shift.
Blank lines are ignored. Lines that cannot be read, or where the break is as long as the shift, are skipped and listed under Skipped lines so you can fix them.
Reading the result
- Total hours gives the week as h:mm and decimal hours.
- Days worked counts the lines that were read.
- Regular and Overtime appear when the total passes the threshold you set.
- Gross pay appears when you enter a rate, with overtime paid at the rate times the multiplier.
- Skipped lines lists any line numbers that could not be read.
The table under the result repeats each day with its start, end, break and hours, marking shifts that end the next day with +1.
How overtime is counted
Overtime here is weekly: every hour above the threshold is overtime, however it was spread across the week. With a 40-hour threshold and 42:15 worked, 40:00 is regular and 2:15 is overtime. At 22 an hour with a 1.5 multiplier, gross pay is 40 × 22 + 2.25 × 33 = 954.25.
Paste one week at a time, because the threshold applies to the whole sheet. Some agreements calculate overtime daily, such as after 8 hours in a day, or pay a higher rate at weekends. In that case work out those hours separately and treat the rest as regular. Set the threshold to zero to pay every hour at the overtime rate, or leave the multiplier at 1 to see straight-time pay.
Worked example
The sample week gives Monday 8:00, Tuesday 8:00, Wednesday 8:45, Thursday 8:00 and Friday 7:00, a total of 39:45 or 39.75 decimal hours. That is under the 40-hour threshold, so there is no overtime, and gross pay at 22 an hour is 874.50. Change Friday's finish to 17:00 and the week reaches 40:45, with 45 minutes of overtime.
Keeping accurate time records
- Write times down as you go rather than reconstructing the week on Friday.
- Note breaks separately, as they are easy to forget and change the total.
- Keep your own copy even if your employer uses a clock or app. A record you made at the time is strong evidence if there is a dispute.
- Check the total against your payslip each pay period, not months later.
- Record travel or training time separately if it is paid at a different rate.
Gross pay is not take-home pay
Gross pay is before tax, social security, pension and any other deductions. These vary by country, income and personal circumstances, so this calculator stops at the gross figure. Your payslip shows the deductions applied to it.

How many hours of overtime a week produces
The formula splits the week at the overtime threshold: pay = regular hours × rate + overtime hours × rate × multiplier. For example, 45 hours at 22.00 is 40:00 regular plus 5:00 overtime at 33.00, giving 1,045.00. Each example below uses a 40-hour threshold and time and a half.
Weekly pay at 22.00 an hour, overtime at 1.5 times after 40 hours

FAQ
How do I enter a night shift?
Type the real start and end times, such as Sat 22:00 06:30 30. When the end is at or before the start, the shift is treated as ending the next day, and the table marks it with +1.
Can I use am and pm times?
Yes. Write times such as 8:30am 5pm or 9am to 5:30pm. Hours with am or pm must be between 1 and 12. You can mix 12-hour and 24-hour times on different lines.
Why is a line listed as skipped?
The line could not be read as a label, a start time, an end time and an optional break, or the break was as long as the shift. Check for typing errors such as 9.00 instead of 9:00, then correct the line.
Does it calculate daily overtime?
No. Overtime is counted on the weekly total above the threshold you set. For daily overtime rules, add up each day's hours above the daily limit yourself, or work out each day with the hours calculator.
