How the Payslip Generator works

This payslip generator turns the pay you have already worked out into a clean single-page PDF payslip, with an earnings table, a deductions table, gross pay and net pay. You enter the tax and deductions yourself. Nothing is uploaded, and the file is built in this tab.

What the payslip generator calculates, and what it does not

It adds the earnings lines to give gross pay, adds the deduction lines to give total deductions, and takes one from the other for net pay. It does not work out income tax, social insurance or any other statutory deduction. There are no tax tables inside it, because rates and thresholds differ by country and change every year. Take those figures from your payroll software, your tax authority's calculator or your accountant, and type them in.

Writing earnings. Use Basic pay | 160 | 18.50 for hours at an hourly rate, which prints the hours and rate columns, or Bonus | 250 for a fixed amount. Salaried pay is a fixed amount, such as Salary | 2750.

Writing deductions. Use Income tax | 412.60 for an amount you have calculated, or Pension | 5% for a percentage of gross pay. Percentages suit pension and similar contributions that are a flat share of pay. Each deduction prints as a negative line in the deductions table.

A worked example. With the default lines, basic pay of 160 × 18.50 = 2,960, overtime of 8 × 27.75 = 222 and a 250 bonus give gross pay of 3,432. The deductions are 412.60 + 238.00 + 5% of 3,432 (171.60), which is 822.20. Net pay is 3,432 − 822.20 = 2,609.80.

Use it for records, not to replace payroll. A payslip records what was paid. If you employ people, you may still have to report pay to the tax authority through a registered payroll system.

FAQ

Does this payslip generator calculate tax?

No. Income tax, social insurance and similar deductions depend on the country, the tax year and the employee's own code or allowances, so they are not built in. Work them out with payroll software or the official calculator, then enter each one as a deduction line.

How do I add a pension contribution as a percentage?

Write the deduction as Pension | 5%. The generator takes 5% of gross pay and prints it in the deductions table with the percentage in the rate column. Use an amount instead, such as Pension | 160, if the contribution is worked out on a different pay figure.

What is the difference between gross pay and net pay?

Gross pay is the total earned before anything is taken off, including basic pay, overtime and bonuses. Net pay is what the employee actually receives after tax, insurance, pension and any other deductions. Net pay is gross pay minus total deductions.

Can I use it for a contractor or a household employee?

Yes, as long as you already know the figures. It suits small employers, nannies, carers and anyone who needs a clear pay record. It is a document generator, so make sure the amounts and any official reporting follow the rules where you are.
