How the Quote Generator works
This quote generator turns your details, the client's details and one line per item into a finished single-page PDF quote as you type. It prints the total with tax and a fixed valid-until date. There is no account and no upload: the file is built in this tab and saved straight to your downloads.
How the quote generator builds your quote
Write one item per line with vertical bars between the parts: Web page templates | 6 | 320 is six
units at 320 each. A line with only two parts, such as Strategy workshop | 900, counts as one unit.
The subtotal, tax line and quote total update on every keystroke, and the quote date plus the chosen
validity period gives the printed valid-until date.
Why a quote needs an expiry date. Your costs, your diary and the client's budget all change. A printed valid-until date lets you honour the price for a fair window and re-quote after it, without an argument about whether a price from last spring still stands.
Quote or estimate? In everyday use a quote is a fixed price for a defined scope, while an estimate is a best guess that may move. If the figure might change, say so in the footer notes and list what is excluded, so the client knows what the price covers.
From quote to invoice. When the client accepts, open the invoice generator and paste the same line items. Keeping the quote number in the invoice notes makes it easy for both sides to match the bill to what was agreed.
The PDF holds up to twenty-four line items on one A4 page and uses the built-in Latin PDF fonts. Nothing you type is stored in this browser or sent to a server.
FAQ
What is the difference between a quote and an invoice?
A quote is an offer sent before the work, stating what you will do and for how much. An invoice is a request for payment sent after the work or a milestone. Accepting a quote agrees the price; the invoice then asks for it to be paid.
How long should a quote be valid for?
Thirty days is the most common choice for services. Use fourteen days when material prices move quickly, and sixty or ninety days for larger projects where the client needs time to get budget approval before they can say yes.
Is a quote legally binding?
Once a client accepts a quote as written, it usually forms the basis of a contract for that price and scope. That is why the scope, exclusions and expiry date matter. For large or risky work, a proper written contract is still worth having alongside it.
Can I add tax to the quote?
Yes. Enter one flat rate in the tax field, such as standard VAT or a single sales-tax rate, and the tax line and total update. Set it to zero if you are not registered, and add any registration number to the footer notes yourself.
